Position Overview
The Human Resources Assistant provides administrative support to the Human Resources department, managing employee records, benefits administration, and recruitment processes. This role requires strict confidentiality, attention to detail, and proficiency in HRIS systems. The assistant serves as a key point of contact for employee inquiries and ensures accurate maintenance of personnel records and benefits information.
Responsibilities
Employee Records & Data Management
- Maintain accurate and up-to-date employee personnel files and records
- Enter and update employee information in Human Resources Information System (HRIS)
- Process new hire paperwork and onboarding documentation
- Process employee status changes, transfers, and separations
- Ensure compliance with record-keeping requirements and retention policies
- Generate reports and data extracts for HR management and compliance
Benefits Administration
- Assist employees with benefits enrollment, changes, and questions
- Process benefits enrollment forms and coordinate with benefits providers
- Maintain benefits records and ensure accurate deductions
- Assist with open enrollment processes and benefits communications
- Coordinate with benefits vendors and insurance providers
- Process leave requests and maintain leave balances
Recruitment Support
- Post job openings on district website and job boards
- Screen applications and assist with application tracking
- Schedule interviews and coordinate interview logistics
- Prepare interview materials and candidate packets
- Assist with background check and reference verification processes
- Maintain recruitment files and applicant tracking system
HR Administration
- Answer employee questions regarding HR policies and procedures
- Assist with employee orientation and onboarding processes
- Process employment verifications and reference requests
- Maintain confidentiality of all employee and applicant information
- Assist with HR projects and special assignments as needed
Required Qualifications
- High school diploma or equivalent (minimum)
- Associate's degree in human resources, business administration, or related field preferred
- Two or more years of office/clerical experience, preferably in HR or administrative support
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Experience with HRIS or database systems preferred
- Ability to pass background check and fingerprint clearance
- Strong attention to detail and accuracy in data entry
- Excellent organizational and time management skills
- Strong communication and interpersonal skills
- Ability to maintain strict confidentiality regarding employee information
- Understanding of basic HR principles and employment practices
Preferred Qualifications
- Bachelor's degree in human resources, business administration, or related field
- Previous experience as an HR assistant or in human resources
- Professional HR certification (PHR, SHRM-CP) or working toward certification
- Advanced proficiency in HRIS systems
- Knowledge of employment law and HR compliance requirements
- Experience with benefits administration and enrollment processes
- Experience with recruitment and applicant tracking systems
- Bilingual skills (as applicable to district needs)
- Knowledge of public education HR practices and policies
Skills & Competencies
- Proficiency in Human Resources Information Systems (HRIS) and database management

Work Environment
This position works primarily in a district office or school administrative setting, supporting the Human Resources department. The HR assistant interacts regularly with employees, administrators, and external vendors. The role involves extensive computer work maintaining employee records and processing HR transactions. The position requires strict confidentiality and the ability to handle sensitive employee information appropriately. The assistant may work independently on routine tasks while also supporting HR managers on special projects and initiatives.
Physical Requirements
This position is primarily sedentary, requiring the ability to sit for extended periods (6-8 hours per day) while performing computer-based work. The role involves frequent use of computer keyboard, mouse, and telephone. Employees must have sufficient vision and hearing to perform essential job functions, including reading documents and communicating via phone and in person. The position requires manual dexterity for typing and handling documents. Occasional standing, walking, and lifting of light objects (up to 10 pounds) may be required.
