Position Overview
The Registrar / Attendance Clerk manages student enrollment, registration, and daily attendance tracking. This role requires meticulous attention to detail, proficiency in Student Information Systems (SIS), and strong organizational skills. The clerk ensures accurate student records and compliance with state attendance reporting requirements while providing excellent customer service to families during enrollment and registration processes.
Responsibilities
Front Office & Reception
- Serve as the first point of contact for visitors, parents, students, and staff
- Answer phones, route calls, and take messages professionally and courteously
- Greet visitors and provide information or direct them to appropriate staff
- Maintain a welcoming, professional front office environment
- Handle sensitive situations with discretion, diplomacy, and confidentiality
- Manage visitor check-in procedures and security protocols
- Coordinate with staff regarding appointments and meetings
- Assist with general inquiries and provide information about school programs and policies
Student Enrollment & Registration
- Process new student enrollments, including verification of required documentation
- Enter student demographic and academic information into Student Information System (SIS)
- Coordinate with families to complete registration paperwork and collect required documents
- Process student withdrawals and transfers, ensuring proper documentation
- Maintain accurate student enrollment records and files
- Assist families with enrollment questions and registration procedures
Attendance Management
- Record and maintain daily student attendance in SIS
- Process attendance corrections and verify excused/unexcused absences
- Generate attendance reports for administrators and teachers
- Contact parents regarding attendance concerns and truancy issues
- Monitor attendance patterns and identify students with excessive absences
- Prepare attendance data for state reporting requirements
- Coordinate with district attendance office and state reporting systems
Records Management
- Maintain accurate and up-to-date student records
- Process transcript requests and student record transfers
- Ensure compliance with FERPA and student record confidentiality requirements
- File and organize student documentation and records
- Generate reports and data extracts as requested by administrators
Required Qualifications
- High school diploma or equivalent (minimum)
- One or more years of office/clerical experience preferred
- Proficiency in Microsoft Office Suite (Word, Excel) and Google Workspace
- Experience with Student Information Systems (SIS) preferred
- Ability to pass background check and fingerprint clearance
- Strong attention to detail and accuracy in data entry
- Excellent organizational and time management skills
- Strong communication and customer service skills
- Ability to maintain confidentiality regarding student information
- Basic math skills for attendance calculations
Preferred Qualifications
- Associate's degree in business administration or related field
- Previous experience as a registrar or attendance clerk in an educational setting
- Advanced proficiency in SIS systems (PowerSchool, Infinite Campus, etc.)
- Knowledge of state attendance reporting requirements
- Experience with student enrollment and registration processes
- Bilingual skills (as applicable to district needs)
- Understanding of FERPA and student record confidentiality requirements
- Experience with state reporting systems and data submission

- Proficiency in Student Information Systems (SIS) and database management

Work Environment
This position works primarily in a school front office setting, with frequent interaction with families during enrollment and registration periods. The registrar/attendance clerk works closely with administrators, counselors, and teachers regarding student records and attendance. The role involves extensive computer work entering and maintaining student data in SIS systems. The position requires attention to detail and the ability to work efficiently during peak enrollment periods and daily attendance processing.
Physical Requirements
This position is primarily sedentary, requiring the ability to sit for extended periods (6-8 hours per day) while performing computer-based work. The role involves frequent use of computer keyboard, mouse, and telephone. Employees must have sufficient vision and hearing to perform essential job functions, including reading documents and communicating via phone and in person. The position requires manual dexterity for typing and handling documents. Occasional standing, walking, and lifting of light objects (up to 10 pounds) may be required.
